What do I need to do before an event?

To help your volunteer experience go smoothly, please take a few quick steps before the event:

1. Register in advance
Use the event registration link to sign up. This helps us plan ahead and make sure we have the right tools and support ready for everyone.

2. Come prepared
Review our Volunteer Event Checklist so you know what to bring.

Being prepared helps keep you safe, comfortable, and ready to make a difference.

What if there's a bad weather forecast for the event?

Our team is committed to serving the community—rain or shine.

If weather conditions change, we will assess the situation and choose the safest and most appropriate option. This may include:

  • Waiting briefly for conditions to improve
  • Adjusting how services are delivered
  • Rescheduling the event when possible

In most cases, we will pause activities for up to 30 minutes before making a decision.

Your safety—and the safety of our volunteers—is our top priority. Volunteers will never be asked to work in conditions that feel unsafe or put them at risk.

We appreciate your patience and understanding as we work to make the best decision for everyone involved.

What about excessive heat warnings for events?

Your safety and comfort come first—especially on hot days.

If temperatures are high, our team will take extra steps to keep everyone safe. This may include:

  • Providing water and cold treats
  • Scheduling frequent breaks
  • Ending the event early if conditions become unsafe

We encourage all volunteers to listen to their bodies. Please take breaks whenever you need them, and feel free to leave early if you’re not feeling well.

What if I need to cancel or can't make it?

No problem—we understand that plans change.

If you’re no longer able to attend, please let us know as soon as you can. This helps us plan ahead and make the best use of volunteer time and resources.

What if I need to leave an event early or arrive late?

That’s okay—we’re glad you’re here, whenever you can be.

We understand you have a busy schedule, and we appreciate any time you’re able to give.

When you arrive, please check in with the volunteer coordinator. If you need to leave early, check out before you go. This helps us accurately track volunteer hours and stay organized.
